Derby Tenancy Application Process 

Easy Registration

Our systems are all online, so you don’t need to trek to a branch, fire up the printer, or dust off the fax machine.

Digital Signatures

You can complete the entire tenancy process right from your mobile device including signing all the documents.

Submit Your Offer

Firstly, you’ll need to complete a note of interest which confirms you wish to apply for a property and provides us with as much information as possible about you and your situation so we can relay it to the Landlord. In some cases, the Landlord may receive multiple offers at the same time so it’s important you can be as competitive with your offer as possible. The link to complete your note of interest can be found on the viewing confirmation email you’ll receive from us.

Application Costs

Once your initial application has been accepted, in order to proceed with the referencing, we need to collect a holding deposit payment from you. You’ll be required to pay the equivalent of 1 weeks rent holding deposit. Monies paid will not be refunded in the event you decided to withdraw your application or fail the referencing for not disclosing key information. However, should the Landlord decide at anytime after the holding deposit has been paid that they do not wish to rent the property the funds will be reimbursed.

Paying this holding deposit shows your commitment to taking the property. It’s very important this payment is made quickly to avoid the property being offered to someone else who secures the property before you do.

Referencing

We use a third party referencing company called Let Alliance to streamline the referencing process from start to finish.

You will be sent an email from our office providing you with:

 

  • A copy of the Government’s ‘How To Rent Guide’
  • A template Assured Shorthold Tenancy Agreement
  • A link to complete Let Alliance’s checks

Sign Tenancy Documents

Once satisfactory referencing has been received and the Landlord has confirmed that are happy to proceed, you’ll receive a notification from us that you can view the Tenancy Documentation online and sign, all using your computer, tablet or phone.

The tenancy documents you’ll receive are:

  1. Assured Shorthold Tenancy Agreement (or contract if a Company Let)
  2. Prescribed Information for your Deposit Protection
  3. A Fully Conditioned Inventory complete with photos and descriptions of the property
  4. A Tenancy Information Pack with useful information including;
  • A copy of the Energy Performance Certificate (EPC)
  • A copy of the Electrical Safety Certificate (EICR)
  • A copy of the Gas safety Certificate (if applicable)
  • A copy of the Legionella Risk Assessment
  • A copy of the Government’s ‘How to Rent Guide’
  • A copy of the ‘Tenancy Deposit Scheme’ guide
  • A copy of a Damp, Mould & Legionella advice Leaflet

Move In Day

We’ll arrange a convenient time for you to come into the office to collect your keys and your Northwood ‘move in box’ of goodies and then you are good to go!
